Privacy & Data Usage Policy

1. Information We Collect

When you submit a Signal Audit request, we collect: your name, email address, company name (optional), and any files you upload (documents, spreadsheets, images, data files). We also record your consent to this policy and the timestamp of that consent.

2. How We Use Your Data

Your submitted data is used exclusively to prepare your Signal Audit deliverable. This includes:

• AI-Assisted Analysis: Your documents and data may be processed through artificial intelligence tools (including but not limited to large language models and data analysis platforms) to identify patterns, insights, and recommendations for your Signal Audit.
• Human Review: Barnes Signal Advisor personnel will review AI-generated insights and your source materials to prepare your final audit report.
• Deliverable Preparation: Your data informs the 1-page Signal Audit document you receive.

3. Data Protection & Ring-Fencing

We take your data protection seriously. Your submitted files and information are:

• Encrypted: All data is encrypted in transit (TLS/SSL) and at rest.
• Access-Controlled: Only authorized Barnes Signal Advisor personnel can access your submissions. Files are stored in a private, ring-fenced environment with no public access.
• Isolated: Your data is logically separated from other clients' data.
• Never Publicly Disclosed: Your documents, data, and audit results are never shared publicly, sold, or provided to third parties for their own purposes.

4. AI Processing Disclosure

By submitting data for a Signal Audit, you acknowledge and consent to the following:

• Your data may be processed by AI models and tools operated by Barnes Signal Advisor or its authorized technology partners.
• AI processing is conducted under strict confidentiality and data handling agreements.
• AI-generated outputs derived from your data are used solely for your Signal Audit and are not used to train AI models on your proprietary information.
• Barnes Signal Advisor retains the right to use anonymized, aggregated insights (with no personally identifiable or client-specific information) to improve its methodologies and services.

5. Data Retention

Your submitted files and personal information are retained for up to 90 days after delivery of your Signal Audit to allow for follow-up discussions. After this period, your data is permanently deleted unless you engage in a continuing consulting relationship. You may request earlier deletion at any time by contacting us.

6. Your Rights

You have the right to:

• Request access to the data we hold about you
• Request correction of inaccurate data
• Request deletion of your data at any time
• Withdraw consent for AI processing (note: this may limit our ability to complete your Signal Audit)
• Receive a copy of your submitted data in a portable format

7. Limitation of Liability

The Signal Audit and all related deliverables are provided for informational and advisory purposes only. Barnes Signal Advisor makes no guarantees regarding business outcomes resulting from audit recommendations. By submitting data, you confirm that you have the authority to share such data and that its disclosure does not violate any agreements or obligations you may have.
